Billing & Payment Policies
Recurring Services
Invoices for recurring services are issued on or around the 1st of each month for the upcoming service period.
Payment is due by the 23rd of the billing month.
Accounts unpaid by the 1st of the following month are considered delinquent and services may be suspended.
Late Fees
A 1% monthly late fee may be applied to overdue balances.
Credit and Debit Card Payments
Card payments are processed through secure third-party payment processors.
Nextwave Concepts does not store full payment card information.
By providing payment details, the client authorizes Nextwave Concepts to charge the card on file for:
recurring services
project invoices
outstanding balances
late fees
approved service charges
Charges may occur on or around the 1st or 15th of the month as needed.
A 3% surcharge may apply to credit card transactions where permitted by law.
Nonpayment
Nextwave Concepts reserves the right to suspend, disable, redirect, or terminate services due to nonpayment.
This may include but is not limited to:
website hosting
email services
advertising management
marketing services
server resources
digital assets
Service Interruption & Data Retention
Accounts with overdue balances may experience interruption or suspension of services until payment is brought current.
Client websites, files, databases, and other digital assets may remain stored on Nextwave Concepts infrastructure while hosting or related services remain active. Charges associated with hosting or infrastructure may continue to accrue while these assets remain active.
Nextwave Concepts reserves the right, at its discretion, to archive, disable, or permanently remove hosted accounts and associated files from our systems if an account remains unpaid or inactive for an extended period.
Nextwave Concepts is not obligated to retain or restore client data once it has been removed.
Clients are responsible for maintaining their own backups.
Chargebacks
Initiating a chargeback without first contacting Nextwave Concepts to resolve a billing dispute may result in immediate suspension of services while the matter is investigated.
Collections
Accounts that remain unpaid may be referred to collections. The client agrees to be responsible for reasonable collection costs, legal fees, and expenses associated with recovering unpaid balances.
Errors
Any billing errors or overcharges will be corrected through refund or account credit at Nextwave Concepts’ discretion.
Current Hourly Rate
Unless otherwise stated in a written agreement, the current standard hourly rate for services is:
$175 per hour with a $50 minimum charge.
Service Policies
Website Design Completion
Website design projects are considered substantially complete once the approved design and structure have been implemented and all content provided by the client at that time has been incorporated.
If the client does not provide remaining content, feedback, or approval within 14 days after notification that the design is complete, Nextwave Concepts reserves the right to consider the project complete for billing purposes.
At that time, any remaining project balance may be charged to the client’s card on file or invoiced immediately.
Remaining content or approvals submitted later will be incorporated when possible and scheduled based on current workload.
Work Performed & Project Cancellation
All work performed by Nextwave Concepts constitutes billable professional work regardless of whether a project is ultimately launched or used by the client.
If a client cancels or discontinues a project after work has begun, the client remains responsible for payment for all work performed up to that point.
Deposits or payments toward project work are non-refundable once work has commenced.
Post-Launch Adjustments
Minor adjustments to content, formatting, or layout may be requested within 30 days after final payment and website launch.
Requests that significantly alter the approved design, structure, or functionality may be billed at the standard hourly rate or treated as a new project.
Clients with active hosting or maintenance plans that include website updates may continue to request changes according to the terms of their service plan.
Client Modifications
Clients may modify their website directly or authorize third parties to make modifications.
However, issues or errors resulting from changes made outside of Nextwave Concepts management are not covered under hosting or maintenance plans.
Diagnosing or repairing problems resulting from third-party modifications may be billed at the current hourly rate.
Website Security & Malware
Nextwave Concepts implements reasonable security practices including updates to website software when applicable. However, no website can be guaranteed to be completely secure.
Clients who install plugins, modify code, or allow third parties to modify their website assume responsibility for vulnerabilities introduced by those changes.
Minor security issues may be addressed as part of maintenance at Nextwave Concepts’ discretion.
More complex malware removal, security remediation, or restoration work may require additional paid services billed at the hourly rate.
In severe cases infected websites may need to be temporarily disabled, restored from backup, or rebuilt.
Nextwave Concepts is not responsible for losses, downtime, or damages caused by malware or third-party vulnerabilities.
Email Hosting
Nextwave Concepts may assist with setup or management of third-party email services including but not limited to Google Workspace or Rackspace.
These services are operated by their respective providers, and Nextwave Concepts is not responsible for outages, pricing changes, policy changes, or service disruptions caused by those providers.
Domain Names
Nextwave Concepts may assist with registering, transferring, or managing domain names through third-party registrars.
Clients remain responsible for maintaining active domain registrations and renewals.
Nextwave Concepts is not responsible for expired domains or registrar actions outside our control.
Advertising Spend
Advertising budgets for platforms such as Google Ads or Meta Ads are typically billed directly to the client by the platform provider.
In some cases Nextwave Concepts may temporarily cover advertising costs on behalf of the client. In such cases the amount will be billed back to the client along with a service fee of up to 5%.
Advertising costs are non-refundable once spent.
Service Suspension & Restart Fees
If services such as advertising management, SEO, or marketing automation are paused due to nonpayment or client request, restarting the service may require additional setup or configuration work.
Nextwave Concepts reserves the right to charge a restart or reactivation fee before services resume.
Intellectual Property
All content, materials, trademarks, designs, and intellectual property created by Nextwave Concepts remain the property of Nextwave Concepts unless otherwise specified in a written agreement.
Unauthorized use, reproduction, or distribution is prohibited.
Clients are granted a limited license to use deliverables produced for them during an active engagement with Nextwave Concepts.
